Job Summary:
We are seeking a Tenant Relocation Coordinator to join our team in Troy, NY. The ideal candidate will provide administrative support by communicating and coordinating with staff and tenants regarding relocations, issues, requests and concerns during renovations.

  • Job Type: Full-time

  • Pay: $19.00 - $27.00 per hour

  • Schedule:

    • Expected hours: 40 – 45 per week

    • 8 hour shift, Monday to Friday

  • Experience: 1 year of customer service: 1 year preferred, 1 year of relocation preferred

  • Ability to Commute: Troy, NY 12180 (Preferred) — in-person

Responsibilities:

  • Assist with daily relocation and access, including inspections and events required at multiple sites while working closely with Property Management and clients to to prepare and assist residents with all relocation activities.

  • Communicate with third party vendors, including cleaners, moving and pest control companies.

  • Survey residents to understand their relocation needs and relocation preferences.

  • Participate in and Facilitate resident and community meetings to discuss the relocation process and resident relocation rights and benefits.

  • Take inventory of tenants' belongings and furniture, infestation, clutter and hoarding issues.

  • Prepare and distribute appropriate notices to residents, along with providing packing supplies and assistance including light packing and unpacking as necessary.

  • Implement relocation policies, relocation counseling, and assistance in compliance with applicable Federal, State, or local regulations.

  • Regularly update and maintain relocation files, database, relocation tracking reports and additional various reports.

  • Prepare agenda for weekly relocation meetings and take minutes, if determined necessary.

  • Conduct pre and post inspections of Relocation Units to ensure they meet decent, safe and sanitary requirements.

  • Conduct final check-in 72, 48 and 24 hours before the moving date.

  • Schedule, coordinate and supervise moves and other move-related tasks.

  • Work closely with construction, property management, development, and moving contractors to ensure residents vacate their units per the relocation schedule, surrender keys to the property management and units are properly secured.

  • Implement procedures for minimizing resident property damage, including taking inventory of furniture and taking photos or video, and serve as the initial point of contact regarding resident claims of damage or loss.

  • In the event of property damage or missing belongings, serve as a liaison between the resident and moving company to facilitate a timely resolution of the claim.

  • Complete all tasks identified in the site work plan and perform other duties as assigned.

Knowledge/Ability/Skills:

  • Basic principles of maintaining and updating schedules and creating effective notifications.

  • Proficiency in MS Office; Word, Excel, Outlook-Calendar and TEAMS.

  • Business communication practices and procedures.

  • Experience handling sensitive and confidential information.

  • Principles and practices of effective recordkeeping and records management.

  • Relevant administrative rules, regulations, policies and procedures.

  • Must be able to communicate clearly and effectively both written and verbally and have outstanding customer service skills.

  • Detail-oriented, highly organized, self-motivated and have the ability to prioritize tasks and projects with limited direction and time constraints.

  • Resourceful and flexible as challenging situations arise.

  • Willingness to learn and take constructive criticism.

Education/Experience Requirements:

  • High School diploma. Bachelors degree in Business, Public Administration, Real Estate or other related field is preferred.

  • Background in management, social work, customer services or real estate.

  • 1 to 2+ years experience in relocation services is preferred.
